What is Multi-Site?
The Juno EMR multi-site feature is designed for organizations who own multiple clinics or locations within the same province and who would like to have all clinics under their umbrella using the same EMR. It ensures that all patient data belonging to the organization is accessible by physicians and staff without needing to log in to multiple different EMRs.
How Does It Work?
Creating Sites
When using multi-site, you will start by creating your different locations within the EMR. You can have as many locations as make sense for your organization. Each location can have its own name, address, and contact information.
Once locations are created, you will be able to update your staff and physicians’ user profiles to identify which location(s) – or site(s) – they are assigned to. This allows you to control who can book appointments for a specific location, as well as who can write prescriptions and consultations requests with that site’s address.
Schedule and Appointments
When booking an appointment, your staff will now be able to select which location is the appointment scheduled at using the ‘Site’ drop down.
Note that only sites to which the user is assigned will show in the ‘Site’ drop down which explains why I only have two options on the screenshot on the right instead of all three active sites.
The ‘Sites’ filter on the schedule allows users to quickly filter appointments by site. I could easily choose to look only at appointments booked at the site I am currently working at for the day, for example.
Prescriptions and Consultations
Physicians who write prescriptions and consultation requests in your EMR will be able to select the site associated with each using a drop down. This will ensure the appropriate address and contact information displays on the prescriptions or consultation request.
eForms
eForms can be programmed to include a drop down with your locations which allows users to select the appropriate location and have the associated address and contact information displayed.
Billing
Invoices in ClinicAid will be associated with the site if the invoice is created from an appointment, allowing you to easily report on revenue based on location.
Multi-Site FAQ
Can patient data be kept private between locations?
The multi-site functionality is designed in such a way that patient information cannot be kept private between locations. Once a patient record is created in the EMR, it will be accessible by all users no matter which location they are working out of.
If your goal is to keep the patient data completely private between location, then the multi-site functionality will not be a good fit for you.
Is there an additional cost to use the multi-site functionality?
No, there is no extra cost associated with using this functionality.
How do I enable multi-site?
An authorized user must email our team to [email protected] and request the feature to be enabled.
How long does it take to start using multi-site?
Enabling multi-site typically takes about one business day. Once it is enabled, you will be able to create your sites and assign staff members to sites. This will allow your users to book appointments and send prescriptions and consultations associated with each site immediately. eForms, however, will require customization on an individual basis which will require more time.
Can patients be associated with a site?
No, patient records cannot be associated with a site. Only appointments are associated with sites.
Can faxes received in the EMR's inbox be separated by site automatically?
No. All inbound faxes received within the EMR go to the same location: the general (unclaimed) inbox.
Can Appointment Reminders be sent based on the different sites?
Yes. Each site will have its own MyHealthAccess setup where rules for reminders and confirmation messages can be customized. Both the content and the delivery schedule can be customized for each location.
Is Online Booking available with multi-site?
Yes. Each site will have its own MyHealthAccess setup where you will be able to configure rules specific to each location.
Is there a way to set a default site when booking appointments when a provider is associated with multiple sites?
Yes. Sites are associated with configured schedules. You will be able to select which site the provider is working at as you configure the schedule which will then determine the default site at the time of booking.
My clinics are in British Columbia, how would multi-site work with Teleplan?
You will use a single data centre for your organization through which all invoices will be submitted. It is not possible to use multiple data centres within a single installation of Juno EMR. You will, however, be able to set a different BCP facility number for each site, as required.
How do I customize my eForms to use multi-site and how long does it take?
Each eForm will need to be customized separately. Compile a list of the eForms you would like our team to modify in the order you would like us to work on them, then send it to [email protected]..
While customizing one or two forms is a task that we can typically tackle within one or two business days, modifying a long list of eForms may take several days and will incur additional costs.
